From Cost to Profit Margin: How the HP PageWide XL Transforms Your Revenue Model

Summary: The Business Case in Brief

For many repro houses, copy shops, and in-house print rooms, the market for construction plans (CAD) has become a “race to the bottom”. The selling price per square meter of line drawing is under pressure due to competition and digitization, while the costs for staff, rent, and energy are rising. How do you survive and thrive in this market? The answer is twofold: by radically lowering operational production costs and by offering new, high-quality products with the same machine. The HP PageWide XL technology is the enabler for this strategy: it combines the speed and low cost of traditional LED printers with the versatility and color quality of inkjet. In this blog, we calculate how this machine repairs your margin.

The Problem of the Split Workflow (Legacy)

In the past, a well-equipped repro house had two types of machines, each with its own disadvantages:

  1. The LED printer (Toner): Large, expensive machines (Oce, KIP, Rowe) for black-and-white construction plans.
    • Advantage: Fast, cheap per print, water-resistant.
    • Disadvantage: Expensive to purchase and maintain, high energy consumption (heat), ozone emissions, and no (or unaffordable) color.
  2. The Inkjet plotter: (HP DesignJet, Canon, Epson) for full-color posters, renders, and maps.
    • Advantage: Beautiful color, cheaper purchase price.
    • Disadvantage: Slow (minutes per print), high ink costs per m², labor-intensive roll changes.

The Inefficiency of the “Mixed Workflow”

In practice, orders come in mixed. A set of 50 plans contains 40 black-and-white drawings and 10 color drawings (e.g., with pipes or 3D views).

  • The operator has to split the PDF.
  • Black and white goes to machine A. Color goes to machine B.
  • After printing, everything has to be manually merged (“collated”) back into complete sets.
  • This costs time (labor = most expensive cost item) and leads to sorting errors.

The Solution: HP PageWide XL (The “Consolidator”)

The PageWide XL is designed to replace both machines. It is one machine for all tasks.

The Technology

Instead of a printhead that moves back and forth, the PageWide has a fixed printbar across the entire width (101.6 cm). The paper zooms underneath it.

  • Speed: Up to 30 A1 pages per minute. That is 1500 m² per day (8 hours). Faster than most LED printers.
  • Quality: 1200 x 1200 dpi. Razor-sharp lines, deep blacks, and vibrant colors in a single pass.
  • Pigment ink: The prints are instantly dry, water-resistant, and lightfast.

The Cost Structure

The cost price for a color print on the PageWide XL is almost equal to that of black and white. Because the printing technique is so efficient, the difference is marginal. This breaks open the old revenue model.

Business Fundamentals: The ROI Calculation (Case Study)

Let’s take an example of a medium-sized repro house that runs 2,000 m² per month.

Old Situation (Dual Fleet)

  • Volume: 1500 m² Black and white (LED) + 500 m² Color (Inkjet).
  • Costs B/W: € 0.15/m² (click + toner) x 1500 = € 225.
  • Costs Color: € 1.50/m² (ink) x 500 = € 750.
  • Total Material: € 975 / month.
  • Labor: 2 operators needed to run machines and manually sort/fold. (Say 20 hours/week folding @ € 25/hr = € 2000/month).
  • Total OPEX: € 2,975 / month.

New Situation (HP PageWide XL)

  • Volume: 2000 m² Mixed on one machine.
  • Costs: Average ink cost: € 0.25/m². (B/W is cheaper, full-area color slightly more expensive, average is very low).
  • Total Material: 2000 x € 0.25 = € 500 / month.
  • Labor: The machine has up to 4 rolls and switches automatically. With an online folding machine (see next blog), the output comes out ready-made. One operator does the work in 20% of the time.
    • Folding time: 0 hours (automated).
    • Operation: 2 hours/week.
  • Total Savings:
    • Material: € 475 profit.
    • Labor: Thousands of euros profit per month.

The machine pays for itself purely through efficiency and labor savings.

New Revenue Streams (Upselling)

Besides saving, you can now make money with products you used to have to outsource.

  1. POS Posters (Retail): Supermarkets want “Ordered today, delivered today” promotional posters. The PageWide spits out 500 an hour. You can compete with offset prices on short runs.
  2. GIS Maps: Detailed maps (Land Registry, utilities) in color. Thanks to its precision and speed, you can serve governments.
  3. Construction Plans in Color: You can now offer color for (almost) the price of black and white. Move away from the price difference. Offer your customers: “Would you like your pipes in color for better readability and fewer construction errors? Same price.” You differentiate yourself from the competitor who is still on black-and-white LED.

Europlan Service: The Partner in Transition

We help you make the switch.

  • Trade-in: We give a fair trade-in price for your old LED and Inkjet machines that are now redundant.
  • Financing: Through HP Financial Services, we offer a lease solution (Pay-per-Use) that grows with your volume. You pay for what you print.
  • Maintenance: Our service contract covers everything (parts, hours worked, printheads). You have a fixed cost per meter and no surprises.

Conclusion: Do more with less

The HP PageWide XL is not just a faster printer. It is a strategic tool to restructure your cost structure, solve your staff shortage (automation), and broaden your offering. In a shrinking market, the most efficient player wins.
